JOB STATUS: Full-time
REPORTS TO: Executive Director and Music Director
START DATE: Immediate

EMPLOYMENT OPPORTUNITY
The Cathedral Choral Society (CCS) is seeking a personable, self-sufficient, and highly organized Production Manager to lead all aspects of the Chorus’ artistic operations. This role works closely with the Music Director and is critical in carrying out the organization’s artistic goals. The Production Manager is essential to ensuring an environment in which CCS’ programming – and the artists who carry it out – can thrive, reaching new highs and a broader and more engaged community. The ideal candidate will be fluent in managing all programming-related logistics and budgets and have sensitivity to the care of our volunteer chorus and hired musicians.

KEY RESPONSIBILITIES
Chorus Management
• Ensure clear and consistent communication with singers to maintain a community where everyone feels valued, connected, engaged, appreciated, and informed.
• Manage all aspects of Chorus Connection (CCS’s chorus membership software), including concert rosters, full membership rosters, schedules, attendance, venues, riser seating charts, music uploads, documents, music score and folder payments, and email listservs.
• Organize the recruitment, auditioning, and onboarding of new singers, in consultation with the Music Director.
• Serve as staff liaison to the Chorus Affairs committee, especially for social events, special chamber performance appearances, and other special projects identified by the committee.
• Review and implement updates to chorus handbook regularly.
• Maintain a roster of professional complement members for consideration by the Music Director.
• Foster a supportive environment which recognizes and celebrates its artists, encouraging active participation in all concerts and year-over-year member retention.

Production Management
• Working with the Music Director, confirm all aspects of each concert and event’s artistic program details and communicate to the Staff and Chorus.
• Oversee the logistics for rehearsal room and performance venue rentals, ensuring proper setup, equipment, and instrument needs are met, and maintaining positive relationships with venue hosts and contractors.
• Ensure that the Chorus is well informed for each appearance and are properly equipped and informed to execute performance logistics with confidence, including entrances, exits, formation, attire, and sit/stand cues.
• Working primarily through a contracted Stage Manager, coordinate all production contractors, ensure delivery and storage of all equipment and instrument rentals required by the program, allow for instrument tunings or climatization, and inform venue staff of production details. Align all parties on accurate concert details including timing, speaking, intermission details, and stage movement.
• Working with a Personnel Contractor, have an understanding of all allowable photography or videography, required break timings, and overtime agreements.
• Serve as the primary point of contact for venues, performing advance site visits and walkthroughs as needed to survey logistics needs.
• Serve as staff liaison to the Music and Programming committee, especially to be well versed and aware of future year artistic planning and provide logistical and budgetary expertise to aid the decision-making of that committee.

Artist Management
• Contract the artists (including soloists, instrumentalists, ensembles, and professional complement members) selected by the Music Director for each production. Negotiate with the artists or agents/managers to adhere within production budgets. Work with local music contractors to book large-scale and union ensembles.
• Ensure that all contracts are fully executed, that all payment and travel and accommodation agreements are clearly agreed upon, engagement dates/times/locations are well communicated, and that each artist has access to the scores, instruments, and answers to any logistics questions.
• Collect artist biographies, headshots, social media information, etc. and distribute to the Marketing Director.
• Serve as point of contact for all guest artists and ensembles, ensuring a welcoming environment with clear communication. Disseminate artistic information including score markings, notes from the conductor, and rehearsal timings. Provide well-organized itineraries and book all travel/accommodation logistics when needed.

Financial Management and Procurement
• Draft budgets for concert productions and chorus operations, under the oversight of CCS leadership.
• Manage expenses within the adopted production budgets, with monthly review of actuals and ongoing reprojections for upcoming performances.
• Provide timely approvals of bills, and coordinate with the Executive Director to ensure that all artists are paid according to contract.
• Rent/purchase and disseminate music scores for the chorus, guest artists, ensembles, and conductor. Ensure the correct edition is used and appropriate markings are included, with support from volunteer or contracted music librarians when warranted. Collect music fees and follow-up for payment as needed. Track rental part distribution and ensure collection and return of all rented parts. Ensure that all proper licensing and ASCAP/BMI reporting is up to date and that music is published, performed, recorded, and disseminated legally.

QUALIFICATIONS
• 3 – 5 years of experience in production, preferably in the performing arts or nonprofit sector.
• Proficiency with Google Suite and Microsoft Suite.
• Exceptionally strong written and verbal communication skills.
• Demonstrated ability to manage multiple projects with attention to detail and deadlines.
• Ability to collaborate well with others – chorus members, guest artists, external partners

WORK ENVIRONMENT
• Hybrid work schedule available. (In-person required at rehearsals and performances. Preferred in-person on Tuesdays, Thursdays, and for key meetings.)
• Evening and weekend work required for rehearsals, events, and performances.

COMPENSATION
Salary range: $55,000-$70,000, commensurate with experience. Benefits include health insurance, an available 403(b) retirement plan, professional development opportunities, and competitive PTO.
