Part-time Director of Administration

A not-for-profit 501 c (3) organization is seeking a part-time Director of Administration. Position is responsible for overseeing the administrative operations of the organization, ensuring efficient and effective office management, and supporting the executive team. This role requires strong leadership skills, exceptional organizational abilities, and a thorough understanding of administrative functions. The organization serves students ages 3-18 and their parents/guardians; candidates should have a pleasant personality and the ability to serve as a professional and welcoming point of contact for our diverse clientele. Reliability, strong work ethics, and consistency are of the utmost importance.
Responsibilities:
• Leadership and Management: Lead and manage the office staff, providing guidance, support, and professional development opportunities. Ensure the team operates efficiently and effectively to meet organizational goals. Oversee the daily operations of the office, including facilities management, procurement, and administrative support services. Maintain a productive and safe work environment.
• Strategic Planning: Develop and implement administrative policies and procedures that align with the organization’s strategic objectives. Continuously assess and improve administrative processes.
• Budget Management: Prepare weekly accounts payable and receivable and work closely with accountant. Monitor expenditures and implement cost-saving measures as needed.
• Compliance and Risk Management: Ensure compliance with all relevant laws, regulations, and organizational policies. Identify and mitigate potential risks related to administrative operations.
• Communication and Coordination: Serve as a central point of contact for administrative matters, facilitating communication and coordination between departments. Support the executive team with administrative tasks and projects.
• Project Management: Lead and manage special projects related to administrative functions. Ensure projects are completed on time, within scope, and within budget.
• Vendor Management: Establish and maintain relationships with vendors and service providers. Negotiate contracts and agreements to secure favorable terms and conditions for the organization.
Experience and Relevant Skills:
• Minimum of 5 years of experience in administrative management or a related field.
• Proven leadership and management skills with experience leading a team.
• Strong organizational and problem-solving abilities.
• Excellent communication and interpersonal skills.
• Proficiency in Microsoft Office Suite and other relevant software applications.
• Ability to manage multiple tasks and projects simultaneously.
• Knowledge of relevant labor laws and regulations related to administrative functions.
• Excellent communication skills, both written and verbal
• Knowledge of dance beneficial, but not required
• Professional and courteous demeanor
• Flexibility, positive attitude, and a good work ethic
• Valid Driver’s License and own transportation required
Schedule: The Director of Administration will primarily work in an office environment, with occasional travel required for meetings, performances, events, and other business-related activities. Hours to fulfill a 20–25-hour work week can be mutually agreed upon taking into consideration the needs of the organization and desired schedule of selected candidate. Position has the potential to grow into a full-time position.
Job Type: Part-time
Salary: $32K-35K Annually. Salary commensurate with qualifications and experience. Time off is in accordance with the organizational calendar, which is based off the school district calendar. Eglevsky Ballet offers the highest available compensation our budget can afford as an alternative to negotiation, which can introduce bias and reflect an individual’s positional power or negotiation skills rather than their job qualifications.
