JOB SUMMARY The McCallum Theatre is seeking a talented and highly motivated Development Assistant to join our team. The Development Assistant will provide high-level administrative support to the Development Department and assist in the efficient operation of the entire Development Department.

ESSENTIAL RESPONSIBILITIES
• Assist the Development with administrative duties and projects as directed.
• Coordinate scheduling and calendar management in Outlook and VenueOps calendars.
• Update donor and prospect information and input relevant notes in the Tessitura database.
• Support Development Department staff with special events and major projects such as merging, proofing, printing, stuffing, and mailing solicitation letters; performing prospect research; processing event registration for events and updating donor information in Tessitura.
• Use Smart Sheets to track and assist with Development Event and Program Collateral.
• Assist with preparations and attend all McCallum Theatre events as requested.
• Solicit input from Development Department staff to create weekly Department meeting agendas.
• Interim receptionist duties such as checking-in visitors, processing mail, pulling Founders Lists for upcoming shows, etc.
• Manage and maintain Development photo wall of new and upgraded Founders.
• Ongoing training on Tessitura.

MINIMUM REQUIREMENTS

• Organized, independent thinker and self-starter.
• Exceptional time management skills with the ability to successfully manage multiple projects with time sensitive deadlines.
• Exceptional communication skills and meticulous attention to detail.
• Experience working in an office environment, performing administrative duties and providing support to high-level executives and managers.
• Expert knowledge of Microsoft Office 365 (particularly in Excel spreadsheets and Word Merge creation and processing), design software such as Adobe InDesign and Canva, and working knowledge of donor database software (preferred experience in Raiser’s Edge or Tessitura).
• Positive personality and work style with the ability to successfully work with multiple members of the Development team on various ongoing projects.

Ability to lift 10 pounds is necessary for moving materials when necessary. WORK ENVIRONMENT
This position operates within a professional, non-profit performing arts theatre and its surrounding exterior grounds. The work environment includes indoor spaces such as the theatre, lobby, backstage areas, and occasionally outdoor spaces like the facility grounds. The role requires flexibility to work during theatre events, including evenings, weekends, and holidays, as necessary.
