Orchestra Planning & Administration System

OPAS (Orchestra Planning & Administration System) develops software used by more than 260 performing arts organizations worldwide.

For more than 36 years, OPAS software has supported the complex operations behind live performance. Our headquarters team in Germany develops the platform, while OPAS US, evolving from Fine Arts Software, supports 76 performing arts organizations across North America. We serve orchestras, ballet & opera orchestras, festivals, jazz ensembles, libraries, archives, choirs, and more.

You will act as a primary technical partner supporting organizations across North America, solving complex data and workflow challenges while helping scale OPAS during a critical growth phase.

This role blends client problem-solving, data work, and technical implementation, using modern tools, including AI-assisted workflows, to move faster and solve problems more effectively.

What You Will Do

Client-Facing Problem Solving

  • Partner on client interactions to understand technical needs and troubleshoot issues
  • Translate client conversations into actionable technical solutions
  • Support client calls and follow-up work with clear communication

Data, Reporting & Technical Work

  • Build and customize reports using PHPSpreadsheet and PHPWord
  • Write and modify SQL/MySQL queries
  • Assist clients with Excel reporting, pivot tables, and database connections
  • Configure OPAS workflows, forms, and system behavior
  • Build small scripts or integrations to streamline client workflows
  • Use AI-assisted tools to explore solutions, debug issues, and accelerate development

Migration & System Transition

  • Support orchestras transitioning from OPAS Classic to OPAS Next
  • Validate, transform, and troubleshoot data during migration and onboarding
  • Identify and resolve workflow differences between systems

This role requires someone who can independently investigate problems, test solutions, and move work forward without constant direction.

Must Haves

  • Strong empathy for the client experience
  • Ability to take ownership of problems and follow them through to resolution without step-by-step instruction
  • Interest in becoming a deep expert in the OPAS application and how orchestras use it day-to-day
  • Advanced Excel skills including pivot tables
  • Working knowledge of SQL and relational databases (MySQL experience helpful; familiarity with legacy systems such as Visual FoxPro a bonus)
  • Comfortable reading existing code and making small adjustments, using documentation and AI-assisted tools where helpful
  • Curiosity about how systems work and willingness to dig into detective-style problem solving
  • Comfort working across time zones with a diverse team
  • Strong written and verbal communication skills in English, with the ability to explain technical concepts to non-technical users

Nice to Haves

  • Comfort using AI tools to accelerate debugging, scripting, and problem solving
  • Experience with PHP or similar scripting languages
  • Experience with data migration or bulk imports
  • Experience building API integrations between systems
  • Familiarity with Git or other version control systems
  • Familiarity with legacy or on-premises software environments
  • Background working in orchestras, performing arts organizations, or nonprofits
  • Prior OPAS user (also known as membership in the Tom Gaitens fan club)

Schedule

  • Flexible schedule (generally Monday to Friday, 9am-5pm Eastern)
  • Occasional after-hours work for client emergencies (approximately quarterly)
  • Occasional travel for conferences or client visits (approximately 2-3x/year)
