The Programs & Partnerships Assistant is an important member of the team responsible for developing and delivering programs that provide professional development, financial support, and advancement for writers at all stages of their careers.

The Assistant works closely with the Director and Assistant Director of Programs & Partnerships to support, implement, and promote programs including Readings & Workshops, Online Classes, Get the Word Out (GTWO), and literary prizes including the Maureen Egen Writers Exchange and the Jackson Poetry Prize. In addition, the Assistant coordinates an initiative to provide high school students and their teachers with free subscriptions to Poets & Writers Magazine.

The successful candidate will be familiar with the nonprofit literary field, have a passion for contemporary writing, and share Poets & Writers’ core values and our commitment to antiracism. In addition, the Assistant will be detail-oriented; have excellent administrative, database, communication, and critical thinking skills; and be comfortable providing support for virtual and live events.

This is a full-time position in our New York City office. We offer a hybrid work environment, with the opportunity to work from home several days per week, but employees must be in the NYC metro area and available to work in the office two days per week and additionally as required, plus occasional evenings and weekends. Reports to the Director of Programs & Partnerships. Annual salary: $45,000, plus benefits including fully paid medical insurance and generous paid time off.

Responsibilities include:

• Support the Administration of Programs
Work closely with the Director and Assistant Director of Programs & Partnerships to support all aspects of program administration. Tasks include:
o Communicate with instructors, judges, participants, and applicants to ensure the smooth administration of classes, programs, regranting, and awards.
o Maintain grants management, class registration, and similar online portals.
o Maintain programs-related web pages on pw.org.
o Provide technical support for online classes and events.
o Provide technical assistance for grant seekers via e-mail and phone.
o Track registrations and applications for classes, mini-grants, GTWO, and awards.
o Distribute, collect, and tabulate participant surveys and/or other evaluation data.
o Help to facilitate award adjudication processes.
o Generate reports as needed for internal stakeholders.
o Coordinate with marketing staff as needed to promote programs.
o Represent P&W at select events in the NYC metro-area.
o Provide other administrative and logistical support as needed.

• Manage High School Subscription Initiative
Under the guidance of the Director of Programs & Partnerships, manage the initiative to provide free subscriptions to Poets & Writers Magazine to high school students and teachers, including:
o Research potential partners; conduct outreach and secure partnerships.
o Communicate and provide support to existing partners.
o Collect subscription recipient data and ensure subscriptions are fulfilled.
o Maintain the initiative’s webpage and application materials.
o Provide timely periodic reports on the number of students/teachers served.

Qualifications:
• Excellent written, verbal, and digital communication skills.
• Highly organized, detail-oriented, and thorough.
• Familiarity with the nonprofit literary field and knowledge of contemporary literature.
• Fluency in Microsoft Office, especially Excel spreadsheets.
• Able to manage and support virtual programming using Zoom.
• Experience working with diverse writers and community groups a plus.
• Familiarity with database management and/or online grants management a plus.
• Ability to work both independently and collaboratively.
