The Westmoreland Museum of American Art is looking to a hire an experienced Part-Time Rental Event Coordinator. The Rental Event Coordinator is responsible for properly managing all rental inquires, scheduling site visits and all related administrative tasks. The Rental Event Coordinator creates a positive and enjoyable experience for guests while ensuring Museum property is always kept safe, clean and properly maintained. This job is part-time with limited hours, minimum of 15 hours per week, up to 20 as necessary with event schedule.

Rental Event Coordination:
1. Be knowledgeable about The Westmoreland’s rental events including weddings, showers, parties, corporate and non-profit rentals, etc.
2. Respond in a timely manner to rental inquiry requests via phone, email and in person.
3. Schedule site visits and meet potential rentals, providing accurate information and selling The Westmoreland as a preferred rental venue.
4. Understand The Westmoreland’s rental contract and communicate effectively with potential rental guests.
5. Keep clear and comprehensive information on each individual rental.
6. Request and process rental payments in accordance with contract, working with the Finance department to keep all payment processing and recording up to date.
7. Maintain rental files.
8. Support strategic initiatives to further promote The Westmoreland’s rental event program.
9. Maintains an enjoyable, safe, clean and well organized event by managing all event rentals, working on site for day of event, following organizational procedure from set up to tear down of event, while providing an exceptional customer service experience for all event guests and vendors.
10. Performing other duties as assigned.

Minimum Qualifications:
1. 3 years of minimum experience working with the public in a special events setting, experience in the hospitality industry preferred.
2. Ability to work with a diverse population of guests, vendors, clients and staff.
3. Proven attention to detail and strong organizational skills.
4. Excellent communication and interpersonal skills.
5. Reliable, prompt and must have reliable transportation to arrive on time.
6. Must be able to work independently and collaboratively as part of a team.
7. ServSafe and RAMP certification. Will be provided if necessary.
8. Ability to work long and irregular hours including various days, evenings, weekends and holidays as needed.

Physical Working Conditions:
1. Must be able to stand for long periods of time.
2. Must be able to lift and carry items up to 50 lbs.
3. Must be able to work in a fast paced environment.
