Position Overview

The Managing Director serves as the central administrative and operational leader of the University of Dayton New Horizons Music Program (UD NHMP). This role provides strategic coordination and day-to-day management, serving as the primary liaison between the UD NHMP Governing Council, University of Dayton Special Programs and Continuing Education (SPCE), UD Roger Glass Center for the Arts (RGCA), UD Department of Music, UD NHMP Instructional Staff, and community partners.

The Managing Director is responsible for ensuring the successful execution of all program operations including registration, rehearsals, communications, logistics, financial coordination, and concert production (in collaboration with the Music Director). This individual plays a key role in supporting the continued growth, organization, and sustainability of the program.

Key Responsibilities

1. Administrative & Financial Management
• Serve as the primary liaison to the UD SPCE Office for registration, purchasing, invoicing, and roster management.
• Maintain and submit financial documentation, including staff honorariums.
• Assist in the development and monitoring of the annual program budget.
• Process purchases using university systems (example: runway system)
• Coordinate with UD Music Department regarding instruments and facilities.
• Manage program communications and updates.
• Ensure compliance with New Horizons International Music Association (NHIMA) and University policies.

2. Registration & Roster Management
• Oversee registration system accuracy and functionality in collaboration with SPCE.
• Ensure all registration materials are accurate and clearly communicated.
• Manage all registration data received from SPCE and drive the compilation and verification of a comprehensive master roster.
• Organize and maintain detailed ensemble rosters for all musicians and groups.

3. Organization Support and Coordination
• Assist committee chairs in the coordination and execution of committee initiatives.
• Coordinate promotional material development and printing.
• Facilitate communication between staff, Governing Council, and venues.
• Collaborate with Music Director and Assistant Music Director on staffing, scheduling, concert planning and program development.

4. Venue & Event Management
• Manage logistics for rehearsals, concerts, and events including setup, reception, technology, and equipment
• Serve as primary contact and contract signee for venues.
• Communicate schedules, room assignments, and logistics.

Required Qualifications
• Exceptional written and verbal communication skills.
• Experience creating and managing social media.
• Demonstrated ability managing complex logistics and priorities.
• Strong administrative and organizational skills.

Desired Qualifications
• Background in music or arts administration.
• Strong attention to detail and data management.

Time Commitment & Expectations
• 12-month performance period (July 1 – June 30).
• Approximately 38 hours/month*
• Attend meetings, rehearsals, and concerts as required.
• Reports directly to the Governance Council.
• Monthly Stipend: $1200.
