2. What Personal Data We Collect

Summary: We collect what you give us (like your email) and some technical “crumbs” (like cookies) to make the site work.

  • Registered Users: To create an account, we require a Username and Email Address. We recommend using a pseudonym for your Username. Optional profile data (Name, Website, Bio) is stored in our database and can be edited by you at any time.
  • Comments: When you leave a comment, we collect the data shown in the form, plus your IP address and browser string to help with spam detection.
  • Payment Data: For paying customers, we use Stripe. We collect your billing address and email for tax and delivery purposes. Crucially, your Credit Card information is never stored on our servers; it is processed directly by Stripe.
  • Gravatar: An anonymized string (hash) from your email may be provided to the Gravatar service to see if you have a profile picture.

3. Cookies and Tracking

Summary: We use small files called cookies to remember your login and see how people use the site. You can turn them off in your browser.

We use cookies to identify visitors and track usage preferences.

  • Login Cookies: Temporary cookies check if your browser accepts them. Login cookies last for two days (or two weeks if you select “Remember Me”).

  • Spam Protection: Automattic/Akismet (For comment moderation).
  • Email Archives: Hover.com (For direct email communication).

5. Third-Party Job Links (The “Hand-Off”)

Summary: Once you click “Apply” and leave our site, our privacy protections end and the employer’s protections begin.

Arts Admin Jobs is a curated job board where listings link out to external company websites.

  • External Sites: When you click a link to apply for a job, you are leaving our Website. We do not have control over how that employer or their Applicant Tracking System (ATS) collects your data.
  • No Data Sharing: We do not automatically pass your Arts Admin Jobs profile data to employers. Every application you submit on an external site is a fresh transaction between you and that employer.

6. Your Rights Over Your Data

Summary: You own your data. You can ask to see it or ask us to delete it at any time.

  • Access & Export: You can request an exported file of the personal data we hold about you.
  • Right to be Forgotten: You may request that we erase any personal data we hold. This does not include data we are obliged to keep for administrative, legal, or security purposes (such as tax records for purchases).

7. Security and Data Breaches

Summary: We take security seriously. If something goes wrong, we will tell you within 48 hours.

We use SSL encryption and follow high-standard WordPress coding practices to prevent unauthorized access.

  • Breach Protocol: In the event of a data breach, our policy is to notify affected users via email within 48 hours of our team becoming aware of the event. We will also report incidents to the relevant data protection authorities where required.
