Job description
Seeking highly organized individual to manage the target deadlines and official submissions of the season productions (September – May). Production Manager will be the liaison between the production team (designers, stage manager, artistic director) and the administration (administration, accounting, marketing and executive director).
Responsibilities
Pre-Production Hiring Process:
Production manager will work with the Artistic Director and leaders of the Production Department to create a “position available” detailed list for designers, stagehands, and talent submission.
Post job announcements in various online and community boards.
Collect resumes and present them to the Artistic Director for review and approval.
Set-up interview meetings with the Artistic Director; and coordinate logistics of on-site auditions and callbacks.
Ensure production department hires are onboarded properly with the organization.
Train staff and crew with process and expectation of their duties
Contract and Accounting:
Manage the contracts of all designers including the budgeted amount for expenses.
Collect and approve of expenses on a bi-weekly basis for submission to the management office, providing the designers with the necessary process to review their available balance.
Alert designers when they are close to their budget limit as not to go over the allotted amount.
Provide expense report to administration
Coordinating Schedule:
Responsible for securing the dates and times needed for the rehearsal process with the venue.
Scheduling the date and time to hold general auditions and call backs for the various shows with the production director(s) and Artistic Director present as needed.
Create a schedule of designer-run through, deadlines for publicity photos, production photos, video recording sessions and the necessary administrative paperwork submission to the design team.
Lead Weekly Production Meetings:
Lead the weekly production meetings for the designers to submit their information and design approvals or changes.
Take detailed notes and disseminate the notes to all production team members.
Coordinate the tasks and logistics of each design team, approving of the workflow and problem solve any challenges.
Qualifications
Experience is a must with at least two accumulative years in the theatrical field as a stage manager, production manager, or any equivalent title.
Minimum of one year as a stage manager or the equivalent of two production or stage management class in an accredited school or program.
Must have theatrical knowledge and understanding from a production viewpoint
Familiar with hardware equipment and software programs for theatrical stage.
Must be flexible and understand the boundaries of a non-profit organizations.
Experience working in a diverse, self-motivated, and team-oriented environment.
Knowledge:
Understanding of the Bay Area theatre community;
Prior training or educational background in stage management or production management/assistant from an accredited school.
Qlab, Virtual Callboard, and other theatrical platforms are a plus
Skills & Abilities:
Ability to coordinate various aspects of production process with attention to detail.
Excellent written and verbal communication skills.
Excellent clerical skills.
Able to work in a fast-paced environment, to multitask and to adjust to competing priorities.
High degree of skill with word-processing, spreadsheet and database functions.
Communication skills must include excellent judgment and discretion with confidential information.
Strong organizational and analytical skills with the ability to work independently, at times with minimal supervision, and as part of a team.
Must be comfortable with new online platforms and process; with the ability to pickup on computer systems easily.
Physical Requirements of the Job:
Moving chairs and tables to assist with rehearsal and tech production
Ability to drive vehicles and cargo vans if needed
Must have good driving record and pass a background check
Schedule Note:
This is a salaried position, employees are required to work in the office and be available during mandatory hours and schedule including special events. Absences for other or multiple employment will not be approved. The position is full-time with expanded duties beyond production manager.
