Position Opening: Patron Services Manager FULL TIME, exempt
GRAMMY-winning chamber orchestra APOLLO’S FIRE seeks an experienced box office manager to engage with our patrons, manage ticket sales, administer our database, and oversee Front-of-House staff and volunteers. This is a full-time position, reporting to the Director of Marketing.
About Us:
GRAMMY® award-winning ensemble Apollo’s Fire (AF), based in Cleveland, OH, is one of the world’s leading period-instrument baroque orchestras. Under the direction of Artistic Director Jeannette Sorrell, AF performs about 40 concerts per year at its home series in Northeast Ohio; about 8-10 concerts on its satellite series in Chicago; and tours internationally at such venues as Carnegie Hall, the BBC Proms (London), the Royal Theatre of Madrid, the Tanglewood, Ravinia, and Aspen festivals, the Library of Congress, the Metropolitan Museum of Art (NYC), and more. AF’s extensive educational and outreach programs in Northeast Ohio include school workshops, FREE Family Concerts, and Baroque Bistro concerts in restaurants. Apollo’s Fire also runs a major string program in the public schools on Chicago’s south side. AF’s diversity initiative, known as the MOSAIC Project, is in its 4th year and has included specially-designed concert programs, commissioned works by Black composers, training for talented young musicians of color, and nurturing the careers of several up-and-coming artists of color.

Job Description:
The Patron Services Manager is the front-line interface between Apollo’s Fire and its subscribers, donors and single‐ticket buyers. Responsibilities include (but are not limited to):
Box Office Management: Engaging with patrons in a friendly and helpful manner, in person and on the phone; managing AF’s mobile box office at the orchestra’s concert venues; serving as a key AF representative with patrons and audience members in the lobby; answering phones in the office and taking phone orders; processing subscriptions and online ticket orders in the office; collaborating with the Staff Accountant to ensure that ticket revenue and donation checks are processed correctly and deposited in a timely manner
Ticketing & Database Administration: Serving as the “point person” for AF’s Customer Relationship Management database, making sure data is regularly cleaned and updated; setting up and managing venue seating charts & ticket sales; maintaining key database information, including patron purchasing history, mailing lists and donor records; providing staff with regular reports on ticket sales, trends, etc.
Front-of-House: Hiring, training and supervising the hourly Front-of-House staff who assist at concerts; coordinating the rotation schedule for other AF staff who assist with FOH and set-up at concerts; ensuring that all FOH staff have the needed information and guidance in order to represent AF in a friendly and professional manner with patrons and donors
Volunteer Ushers: Training and supervising volunteer ushers at concerts; tracking usher contact information and schedules; providing support and education for these crucial team members
Office Management: Maintaining office supplies, obtaining office keys and parking passes for new employees; advising the staff on office equipment needs; ensuring that the office workplace looks professional at all times; overseeing staff Google calendar;
IT Support: When needed, researching and ordering new office/IT equipment and serving as liaison with IT consultants and equipment service-people; managing AF’s phone system including outgoing voice messages; preferably, providing IT guidance to other staff when needed.
Other duties as assigned
Compensation & Terms:
Starting salary range is $45-50k depending on experience; excellent health care benefits; optional 403-B retirement savings plan (tax shelter); a ½-day of comp time is granted for each full-length concert worked (comp time should be used within 6 weeks); 10 business days of paid vacation, in addition to the week between Christmas and New Year’s when AF is closed.
Qualifications:
At least 2 years of professional work experience, preferably on the staff of a performing arts organization
Bachelor’s degree, preferably in music or arts management
Experience with CRM or box office software is strongly preferred; also a strong comfort-level with technology, including fluency with Microsoft Word and Excel
Excellent interpersonal skills and a friendly, engaging personality – including on the phone, in email, and in person
Excellent writing skills
A passionate commitment to professional excellence; strong attention to detail and accuracy
A love of the arts and ability to effectively describe concert programs on the phone
Ability to sit for extended periods of time; ability to lift 30 lbs
A car and valid driver’s license and residence in Greater Cleveland are required
