Position Overview:
The Education and External Affairs Coordinator will play a vital role in supporting the projects of all
front-facing departments, including Education and Community Engagement, Marketing, and
Development. The position will spend approximately 50% of their time with Education and Community
Engagement, fostering educational initiatives and community involvement through a variety of
programs and events, and 50% with Marketing and Development, assisting with patron and donor
communications and helping maintain proper stewardship of Arizona Opera’s subscribers and
donors.
Responsibilities:
Education (30%):
• Coordinate initial scheduling, reschedules, and cancellations for the OperaTunity program
using the department scheduling software.
• Manage email communications, including blasts, reminders, and thank-you messages.
• Update and maintain the tour calendar and schedule tracking documents.
• Oversee agreement creation and management as well as tracking of participant numbers
and demographics.
• Process artist timesheets.
• Maintain communication with teachers.
• Keep the school contact list current and accurate.
• Develop and distribute teacher resource guide, study guides, lesson plans, and program
enhancements.
Community Engagement (20%):
• Project manage select community engagement activities, such as pre-show lectures, book
club events, preview events, Opera for Lunch, the ambassador program, and Coffee at Kerr.
• Build and nurture relationships with partner organizations to enhance community outreach.
• Maintain the ambassador and partner contact list.
• Present preview talks for main stage productions or assist in facilitating the outsourcing of
these previews.
Marketing/Development (50%)
• Manage the Direct Mail and Email Calendar for Annual Fund Appeals
• Assist in the generation of content for direct mail, email, and social media appeals for both
the Marketing and Development Departments
• Work in partnership with the Patron Services Manager to generate mailing lists and data
segmentation
• Assist in the management of Development stewardship and cultivation events including
managing the invitation calendar and helping create and send invitations as well as
providing day-of set-up and logistics support during the event.
• Assist with the grant application process by providing support and project management for
the collection of data and work sample materials from the Community Engagement,
Marketing, and Finance Departments
• Provide operational support to assist with the tracking and reporting of moves management
through Tessitura.
• Assist with the stewardship of Annual Fund Donors <$1000 – including making follow up
calls during direct mail appeals and providing ticketing/concierge support
Qualifications:
• Strong organizational and communication skills.
• Strong writing skills and attention to detail
• Experience in educational program coordination or community engagement.
• Ability to manage multiple projects and deadlines.
• Proficiency with scheduling tools and calendar management.
• Excellent interpersonal skills to build and maintain relationships with patrons, donors,
teachers, community partners, and other stakeholders
• Passion for the arts and a commitment to promoting cultural education.
