THE OPPORTUNITY

Maryland’s largest arts organization; the only American orchestra established by its local municipality (in 1916); and, the only orchestra to perform its full season in two homes in two distinct markets, the Baltimore Symphony Orchestra has a long and rich history of recording, commissioning, and leading the industry in milestones and achievements; and plays a leading role in Maryland’s culture, economy, and quality of life.

In the 2019-2020 season – even before COVID-19 – the BSO set out on a tremendous journey. We developed a five-year strategic plan grounded in the tenants of Culture, Capacity, Capital, and Community to energize the institution, securing extraordinary philanthropy to seed the turnaround now well underway from a position of strength. In keeping with this plan, we reached in Summer 2020 an extraordinary 5-year contract with our musicians, paving the runway for expansive artistic innovation, digital accessibility, and ADEI and community engagement – work that began in earnest despite an all virtual 2020-21 season. In parallel, we re-organized our staff to break down silos, increase communication, and stoke creativity, and have begun to implement strategic systems and infrastructure investments. Looking ahead, the BSO’s 2021-22 Season of Discovery (beginning September 2021) will mark: a full return to our concert halls and a new post-pandemic era of hybrid accessibility for audiences; year two of our five-year strategic plan; and the first year of a multi-year, international Music Director Search. The BSO will also welcome a new President & CEO.

In keeping with this inspirational momentum, the BSO is actively developing an expanded advancement team and development program that prioritizes cultivation, prospecting, and stewardship to achieve and sustain the incremental giving called for in our long-ranging plans. As part of these efforts, the BSO seeks a Coordinator of Grants, Research, and Reporting.

POSITION PROFILE
The Coordinator of Grants, Research, and Reporting is a key member of the BSO’s Development Services team (led by the Sr. Director of Advancement and including specialists in gift processing, events, engagement, membership, and audience development), providing moves management and research support for a robust and growing institutional giving program (currently 125+ corporate, foundation, and government entities, generating more than $5M in annual grants and sponsorships). The Coordinator proactively supports a team of two lead, dual-market institutional giving officers and the Vice President & Chief Advancement Officer in the achievement of annual fundraising and advocacy goals; personally manages the BSO’s annual participation in combined campaigns (e.g. CFC); and plays an important cross-departmental role in coordinating all associated benefit activation (sponsor/funder crediting, ticketing, etc.) and impact reporting (fueling proposals and grant reports as well as institutional communications such as the Annual Review). A proficient user of the BSO’s CRM, Tessitura, and an institutional advocate for data integrity, the Coordinator should have an analytical and inquisitive mind and be a strong communicator (verbally and in writing).

In addition to the Manager of Principal & Planned Gift Strategies (providing moves management and research support for individual gift officers) and two institutional giving officers, the Coordinator will regularly work with the VP of the BSO at Strathmore to vet and research institutional prospects from the Montgomery County/DMV region; the entire Advancement team (including specialists in gift processing); BSO staff (in particular Patron Support, Finance, Education, and Marketing colleagues); and, corporate/foundation/government contacts.

ESSENTIAL DUTIES AND RESPONSIBILITIES
·       Institutional Giving Moves Management and Research:

o      Uses Tessitura to develop institutional giving tracking and reports, supporting portfolio managers and ensuring proactive management of the BSO’s corporate, foundation, and government grants calendar.

o      Provides necessary data in advance of sending reminders to gift officer(s) responsible for completing and sending any funder proposals or reports; and assists in the production and submission of communications, proposals, and reports as directed.

o      Completes data maintenance and filing as needed, including regular updating of institutional contacts (e.g., government contacts following elections), maintaining e-files (of individual institutional funders and of evergreen support attachments and login information), and generally ensuring that all filed information (logos, sponsorship information and contacts) is up to date.

o      Identifies new institutional giving prospects aligned with BSO need/opportunity by coordinating list reviews by volunteers, through local news outlets, and using research software; and produces confidential research profiles, briefing documents, and dossiers using Foundation Center Directory Online, Chronicle of Philanthropy, and other tools.

·       Sponsorship Activation and Acknowledgments:

o      Maintains a template and creates sponsorship agreements that include contact intake information.

o      Creates, updates, and monitors the annual Sponsorship Grid as an inter-departmental communication tool; and supports the team by reviewing all digital and print collateral against the Grid for appropriate sponsor/funder recognition prior to distribution.

o      Provides the VP & Chief Advancement Officer with a personalized acknowledgment for all institutional gifts within 48 hours, in collaboration with the BSO’s acknowledgments process.

o      Facilitates all aspects of sponsorship activation, across all venues/markets, by proactively scheduling all necessary steps to fulfill sponsorship agreements.

o      Fulfills scheduled steps (ticket requests, scheduling flyer placement and events, prompting pre- and post- sponsorship communication), unless they are otherwise assigned.

·       Institutional Impact Reporting:

o      Creates and monitors an annual, organization-wide impact statistics tracker, making sure to align the needs for grant documents and timing requirements into the fields requested.

o      Requests needed information proactively, giving appropriate notice to colleagues across departments.

·       Represents the BSO and interacts with all levels of the organization and institutional donors.

·       Works concerts and special events on a regular basis to greet/engage existing partners and prospects.

·       Ability to work effectively across departmental lines in an open and collaborative manner.

·       Other duties as assigned.

 

QUALIFICATIONS AND CAPABILITIES
·       Bachelor’s degree preferred; at least one year’s progressive experience in fundraising, database, research, or grants management (or similar) required

·       Communication is key to this position, both internally and externally, and heavy workload in both written and verbal communication is expected

·       This position works with the day-to-day activities of supporting and maintaining our institutional giving program. This work necessitates a need for the individual in this position to have a predisposition toward organization (both calendar-based and flow-chart / order of operations) and a keen eye for detail.

·       Tessitura CRM and Microsoft Office usage is strongly preferred; training will be provided as needed. This position is the point person for the institutional giving team in all things data, so an understanding of and/or a high level of comfort with back-end database development may be helpful.

·       Ability to work flexible hours including evenings and weekends on occasion

·       A background and/or interest in symphonic music is desirable, but not required
