Award-winning choral ensemble Cantori New York seeks an Administrative Director to begin immediately.

Location: Remote, but candidates residing in greater New York City area strongly preferred

Compensation: $30-$40/hour

Part-time: Guaranteed minimum 20 hours/month – up to 40 hours/month depending on candidate’s skills, experience and availability

GENERAL SUMMARY
Under the direction of the Board of Directors of Cantori New York, the Administrative Director is responsible for overseeing the administration of the concert season. Cantori New York’s regular season runs from July 1 to June 30.

The season includes three subscription concerts in NYC (two performances each), a holiday concert (two performances); additional performances such as an annual holiday tree-lighting event and other community appearances and collaborations; and special projects as decided upon by the Board.

The Administrative Director is the principal contact to and takes direction from the Artistic Director and the Board President.

PRINCIPAL DUTIES AND RESPONSIBILITIES
All responsibilities are subject to direction from and prior approval of the Board of Directors and Artistic Director.

1. BOARD MEETINGS. The Administrative Director attends all meetings of the Board of Directors and works with the President of the Board to draft board agendas and track the status of action items.

2. PERFORMANCE VENUE CONTRACTING. The Administrative Director is responsible for timely arranging and contracting of all performance venues for subscription concerts, holiday concerts, and other performances.

3. REHEARSAL VENUE CONTRACTING. The Administrative Director is responsible for timely arranging and contracting of all rehearsal venues, including dress rehearsals at performance venues, weekly rehearsal venues, weekend retreat rehearsal venues, and any other rehearsals.

4. GUEST ARTIST CONTRACTING. The Administrative Director contracts all guest instrumentalists and soloists and ensures that all parties receive complete information about rehearsal and performance venues, concert attire, payment schedule, and music. The Administrative Director ensures that all necessary information, including all contact information (cellphone and email) is communicated to the onsite Concert Manager.

5. EQUIPMENT CONTRACTING. As needed, the Administrative Director contracts percussion equipment and arranges for its delivery and retrieval. The Administrative Director ensures that all necessary information, including contact information (cellphone and email) is communicated to the onsite Concert Manager.

6. RECORDING ENGINEER CONTRACTING. The Administrative Director contracts a recording engineer for all subscription performances, and other performances as directed by the Board. The Administrative Director ensures that all necessary information is communicated to the onsite Concert Manager.

7. COMPOSER CONTRACTING. The Administrative Director develops contracts for commissioned works for signature by the Board President and the Composer and monitors the schedule of deliverables, including scores, creative feedback, payments, audio/video components, etc.

8. REHEARSAL PIANIST CONTRACTING. As needed, Administrative Director contracts rehearsal pianists and ensures that the pianist has all necessary information (rehearsal time and location) and music.

9. ASSISTANT CONDUCTOR CONTRACTING. As needed, Administrative Director contracts assistant conductors and ensures that the assistant conductor has all necessary information (rehearsal time and location) and music.

10. OUTSIDE ENGAGEMENTS. The Administrative Director serves as point of contact for all outside engagements and assists the Operations Manager with logistics.

11. MUSIC ORDERING. The Administrative Director ensures that all music is ordered with sufficient lead time to ensure its timely delivery when needed and tracks the order to ensure the music has been delivered. Administrative Director verifies that all rental music is collected, in good condition, and returned by deadline.

12. ROUTINE CORRESPONDENCE. The Administrative Director assists with other routine correspondence as directed by the Board President and Artistic Director.

13. ADMINISTRATIVE CALENDAR. The Administrative Director continually monitors, maintains and updates the administrative calendar of deadlines, events and activities; ensures the timely completion of tasks by those responsible; and alerts the Board President and Artistic Director of any problems.

14. SEASON SCHEDULE. The Administrative Director maintains a complete calendar of the season schedule, showing all rehearsals, performances, Board meetings, and benefit events, and notifies the Artistic Director, the Board, and the members any time a change to the calendar is made.

15. RECRUITING AND ONBOARDING OF NEW MEMBERS. The Administrative Director schedules auditions with singers interested to join Cantori and manages correspondence with them. For the accepted new members, Administrative Director ensures that new members have received the season calendar, music, member handbook, etc.

16. ROSTER MANAGEMENT. The Administrative Director assists the Head of Membership with roster management, attendance reports and member polls.

16. OTHER. The Administrative Director will maintain archival files, accessible to the Board and the Artistic Director. The files will include (but are not limited to): incoming/outgoing correspondence; contract templates; publicity materials; grant-writing materials; contract/account information for music vendors; costs of rehearsal spaces and performance venues; professional contact information; music inventory; concert programs.

15. ADVOCACY. It is understood and expected that the Administrative Director will be a vocal advocate and champion of the artistic mission and artistry of Cantori New York.

POTENTIAL ADDITIONAL RESPONSIBILITIES (SUBJECT TO SKILLSET AND AVAILABILITY)
MARKETING. The Administrative Director supports the Marketing Committee in the timely execution of our marketing plan, including copywriting, design and release of e-blasts and press releases.

CONCERT PROGRAMS. The Administrative Director assists with compilation and creation of concert programs, ensuring that materials (performer and composer biographies, program notes, donor tables, etc.) are gathered according to a predetermined delivery schedule.

SUPPORT OF GRANT APPLICATIONS. The Administrative Director compiles, maintains and delivers supporting materials as needed and maintains a calendar of applications and report deadlines.

REQUIRED SKILLS AND EXPERIENCE
Excellent written and verbal communication skills.
Excellent organizational skills.
Strong ability to manage a calendar and complete assigned tasks on deadlines without reminders.
Ability to make calls and conduct time-sensitive correspondence during regular business hours on a weekly basis.

PREFERRED SKILLS AND EXPERIENCE
Prior experience in arts management, office management or nonprofit administration.
