The Opportunity

Primary Function
The Vice President of Operations, a member of CAPA’s senior team reporting to the CEO, supervises all facets of theatre operations for CAPA including backstage, front of house, concessions, and building maintenance/cleaning. In addition the VP works closely with the Head of Capital Projects on the integration of new capital assets into CAPA’s operating model. The VP ensures CAPA owned and managed buildings are clean, well maintained and provide a high level of customer service that meets the needs of our user groups and patrons. The VP is a strong leader who promotes and instills best practices in facility management in staff, ensuring the long-term care of our historic theatres.

Duties, Responsibilities, and Key Performance Objectives
First 3 months:
• Learn the existing backstage, front of house, concessions, and building maintenance/cleaning operations and personnel, and become familiar with building capital improvements projects.
• Meet with department leaders, State of Ohio agency representatives, local IATSE leaders, peer senior team leaders, and others to understand interactions with operations and their opinions on what is going well and what could be improved; document and share observations and suggestions with the CEO.

First 6 months:
• Backstage
o Oversees all backstage operations, ensuring facilities are properly and efficiently operated for full utilization by renters and CAPA presentations as measured by budget adherence, safety reports, patron and other department feedback.
o Supervises several direct reports and oversees hiring, training, performance management and payroll; works to monitor and improve their engagement at work and ensures these behaviors are cascaded throughout the Operations department.
o Oversees the execution of the collective bargaining agreement between CAPA and IATSE, where applicable.
o Serves as liaison with union representatives regarding labor personnel or contract issues.

• Front of House
o Oversees all front of house operations, ensuring facilities are properly and efficiently operated for full utilization by renters, patrons, and other groups.
o Ensures CAPA’s high standards of customer service are upheld among all FOH staff including via formal customer service programs. Measures of success include: degree and frequency of patron and volunteer feedback at NPS-equivalent levels of 70 or higher.

• Concessions
o Oversees all concessions operations, ensuring facilities are properly and efficiently operated for full utilization by renters, patrons, and other groups.
o Works with the Food and Beverage Manager to implement new products and processes that will increase CAPA’s concessions revenues.

• Building Maintenance/Cleaning
o Oversees all building maintenance/cleaning, ensuring facilities are always prepared for events and meet CAPA’s high standards of cleanliness.
o Manages all facility expenses in the operating budget, including scheduled maintenance and cleaning, ensuring CAPA remains on or ahead of budget with no significant (as measured by the auditing agency) health or safety violations.
o Creates and implements maintenance programs for theatres and related spaces.

• Building Capital Improvements
o Coordinates with the Head of Capital Projects on managing a ten-year capital budget and planning for repair and replacement of CAPA’s capital assets working under the direction of the Building and Operations Committee of the CAPA Board of Trustees.
o Coordinates with the Head of Capital Projects on preparing and managing the Repair and Replacement Plan for the Riffe Theatre Complex in coordination with several State of Ohio agencies; communicates frequently and effectively with all agency parties as measured by their feedback.

• Other Duties
o Educates and promotes best practices in safety to CAPA staff, ensuring building security and safe facilities for all users of our theatres.
o Provides Board and Committee support to CAPA and its shared services partners as required. Reporting responsibilities include CAPA’s Building & Operations Committee, the Lincoln Theatre Association Board, the Friends of the Drexel Board, and the McCoy Center Board.

First Year:
• Maintains and improves relationships, building new ones as applicable, with the leaders, business agent, and stewards of the local IATSE.
• When new business ventures are contemplated, evaluates building operational readiness and operating requirements. Creates related proformas and procedures, as needed, and makes recommendations, supported by financial and other business case detail, to the CEO and the Board, upon request.
• Assists with long-term operational and building planning at shared services theatres within the scope outlined in the respective shared services agreements.

Knowledge, Skills and Abilities
• Excellent verbal and written communication skills.
• Excellent problem solving and planning skills with the ability to identify and address immediate and long-term issues.
• Proficient in Microsoft Office (Excel, Outlook, PowerPoint, Word, etc.) with the ability to learn other technology systems that support CAPA’s operations including building systems (security, HVAC, etc.).
• Understanding of budgeting and the ability to create and maintain basic budgets. A thorough understanding of trends in utility rates.
• Ability to train, direct, and evaluate the performance of staff members.
• Ability to walk, stand and sit for extended periods.
• Ability to climb stairs and ladders, bend and kneel, and lift up to 50 pounds.

Credentials and Experience
• Bachelor’s degree in Business or a related field, and/or equivalent work experience.
• Typically, 10+ years’ experience working in a public or events facility with management responsibilities overseeing several direct reports, including maintenance and capital planning / expenditures is needed to have sufficient experience and judgement to lead a department of this size and complexity.

Special Requirements
• In addition to a standard background check, this position requires a credit check that is satisfactory to management. Joining and remaining a member in good standing of the International Association of Assembly Managers (IAAM) is an expectation.
• The majority of CAPA’s public events take place on nights and weekends. This position requires nights and weekends presence on-site and is on-call 24/7 to respond to building and operational emergencies.
