TITLE: Education Programs and Outreach Coordinator
IMMEDIATE SUPERVISOR: Manager of Arts Education
CLASSIFICATION: Full Time, Non Exempt
BASIC FUNCTION:
The Education Programs and Outreach Coordinator seeks a dynamic, process and relationship driven individual to serve as the central communications and data hub for Ford’s Theatre Society’s education programs, providing administrative, logistical, and implementation support for initiatives such as historic site field trips, oratory programs, student matinees, teacher workshops, and the National Oratory Fellows. This role manages departmental communications, maintains program databases, coordinates educator outreach, and oversees select social media content for @FordsEdu.

PRINCIPAL RESPONSIBILITIES:
Program Administration & Logistics
• Provide comprehensive support for in-person and virtual arts and museum education programs, including scheduling, ticketing, transportation, catering, materials, and venue coordination.
• Serve as the primary contact for educators, students, and partners, responding to or routing inquiries and program registrations from the department mailbox.
• Coordinate logistics for the National Oratory Fellows program, including contact management, flight booking, retreat and meeting planning, online and onsite support.
• Coordinate logistics for free historic site field trips for regional schools, including scheduling, database tracking, and transportation arrangements.
• Assist with departmental expense tracking, reconcile credit card statements, and process payments and invoices accurately and on time.
Data & Database Management
• Serve as primary departmental database administrator (Tessitura) for registrations, participant records, and program impact data.
• Support internal team communications and ensure files, documents, photos and protocols are updated, organized and accessible for staff in the shared database.
• Ensure accuracy and completeness of school, participant, and program records in coordination with Education Department team members.
• Create, distribute, and analyze post-program evaluations, sharing findings with the Manager of Arts Education to inform program improvements and equity goals.
Communications & Outreach
• Coordinate with Education team to collect, edit and submit program information for the monthly teacher electronic newsletter.
• Collaborate with the Education team to conduct outreach to teachers and school districts, particularly to underserved audiences.
• Keep program web content accurate and current, submitting updates through approved systems.
• Support development and editing of educational resources, student matinee content, and workshop materials.
• Plan and execute social media strategy for @FordsEdu to engage educators, promote programs, and align with organizational values.
• Represent Ford’s Theatre at educator outreach events and conferences.
Collaboration
• Partner with Marketing, Visitor Services, Box Office, and Group Sales to ensure appropriate ticketing and capacity for education audiences.
• Support internal and external stakeholders, teaching artists, and Artistic Programming staff in program delivery.
• Participate in internal committees, including the social media committee, as assigned.
• Attend or assist at Ford’s Theatre Society events as needed.
QUALIFICATIONS:
KNOWLEDGE, SKILLS, and ABILITIES:
• Strong verbal and written communication skills with attention to detail and accuracy
• Self-starter able to work independently with demonstrated ability to set priorities and meet competing deadlines
• Excellent customer service abilities and a detail-oriented approach to documentation
• Competence in Microsoft Office (Outlook, Word, Excel, PowerPoint) and familiarity with Twitter, Facebook, and other social media platforms
• Basic math skills and experience with data collection, analysis, and presentation
• Interest in American history, K-12 education and/or theatre
• Flexibility for occasional evening and weekend work with advance notice
EXPERIENCE:
• Successful experience working with Tessitura or CRM system
• Coordinating and communicating with diverse teams and program participants
• Experience or strong interest in working with educators and/or young people
• Background in office, education, customer service, or cultural institution environments
SALARY:
• Approximately $50,000 – $53,500 annually
