Job Title: Senior Associate, Endowment & Administration

Department: Development

Reports to: Chief Development Officer

Status: Salary-Exempt

Summary: This position manages administrative and endowment/planned giving campaign processes for the Houston Symphonys Chief Development Officer.

Essential Job Functions:

-Manage donor record maintenance in Tessitura, shared electronic files, and hard files.
-Manage data mining and perform analysis of data for donor trends in planned giving area.
-Manage creation of donor marketing and engagement strategies and collateral materials.
-Prepare reports for relevant committee meetings, such as the Endowment Campaign Committee, Legacy Society Committee, Symphony Development Committee, etc.
-Manage meeting agenda, materials and logistics for planned giving and endowment campaign meetings; interface with committee chairs and CDO directly.
-Work directly committee chairs and board volunteers on solicitation and stewardship of prospects and donors
-Create benchmarks and timeline approved by CDO to keep planned giving program on target to achieve campaign goals. -Responsible for tracking and hitting set benchmarks.
-Set and coordinate meetings are needed for volunteers.
-Oversee process to collect planned gifts; work with attorneys and family members through probate process.
-Manage the planning and execution of special events as they relate to the cultivation of prospective donors and stewardship of current donors. Events in which one can expect to be involved can range from private dinners to in-hall receptions to galas.
-Work with the CDO in the execution of the planned giving and endowment campaign plans.
-Interface with other development staff regarding planned giving and endowment campaigns.
-Prepare correspondence, including charitable contribution receipts, thank you letters, and other written communication as needed.
-Create proposal materials, prepare research, and create meeting plans for prospect and donor meetings.
-Manage all aspects of Development Committee Meetings, including preparing presentations and reports.
-Attend relevant Committee meetings, take notes, coordinate dissemination of follow up information and action items.
-Schedule appointments and meetings for CDO and ED as needed.
-Represent the Development Office as required and requested at performances and other Symphony activities
-Prepare endowment and planned giving donor listings for relevant Symphony media.
-Perform additional duties as required by the Houston Symphony Society

Qualifications:

-Two-years minimum experience in fundraising.
-Bachelor’s degree or equivalent experience.
-Professional demeanor, detail oriented with ability to work successfully in a fast-paced environment while managing multiple projects.
-Proficient in Microsoft Office and Tessitura or similar CRM database.
-Experience with Desktop publishing preferred, along with spreadsheets, reporting and mail merge functions.
-Ability to work well with others.
-Strong organizational, administrative, and writing skills.
-Creativity, flexibility.
-Ability to work evenings and weekends.
