Job Description

The Artistic and Executive Coordinator provides oversight of and manages the NSO Music Director’s daily activity at the Kennedy Center. They exercise good judgment in acting on the Music Director’s behalf, both when the Director is on-site and away from the Kennedy Center.

The Coordinator supports the Director of Artistic Planning/Artistic Administrator/Assistant Artistic Administrator in artistic and administrative tasks connected to the planning of all NSO concerts, and in rehearsal and concert artistic duties.

Duties and Responsibilities

40%   Serve as Executive Assistant and liaison to the Music Director throughout DC and across the NSO and the Kennedy Center; Will be on call to the Music Director, including evenings and weekends; Exercise discretion and good judgment in decision-making; Compile and maintain the Music Director’s schedule as it pertains to the NSO and the Kennedy Center; Make complicated domestic and foreign travel arrangements, providing input regarding Music Director’s personal preferences, in coordination with the Music Director’s independent management; Screen and handle disposition of all calls; Open and screen mail and use discretion and good judgment in preparing responses on the Music Director’s behalf; Ensure that relationships with all constituents inside and outside the Kennedy Center run smoothly; Maintain files and records; Prepare expense reports for the Music Director; Assist as necessary with personal arrangements for the Music Directors; Attend NSO, Kennedy Center, and other social functions as required.

40%   Participate in concert advancement, and in artistic duty.  Duties include advancing and preparing artist travel, hotel booking, and itineraries; working backstage as immediate artist contact at rehearsals and performances; preparing and clearing dressing rooms; facilitating artist ground transportation; handling artist requests for tickets; backstage access, food and drink; ensuring artists are ready to take the stage when called.

10%   Work with Artistic Administrator and Assistant Artistic Administrator to prepare, send, and monitor execution of guest artist and chamber music artist contracts; Process guest artist payments; Assist with departmental budget projections.

10%   Create, edit, and distribute concert program sheets. Support the NSO Artistic Department by maintaining and improving organization of physical and electronic files and reference documents. Maintain the NSO’s digital and physical concert recording archives.

N/A   Responds to the needs and requests of Kennedy Center management and staff in a professional and expedient manner; Adheres to all employer policies and procedures.

Key Qualifications

  • An undergraduate degree in a music-related field or equivalent knowledge.
  • Ability to travel to NSO performance venues in and around Washington, DC and Northern Virginia.
  • Ability to work evenings, weekends, and holidays when required by the NSO performance schedule.

Physical Demands

While performing the duties of this job, the employee is regularly required to communicate in person and on the telephone.  The employee is frequently required to use hands to finger, handle, or feel in order to operate computer keyboard, office equipment, and other essential tasks.  The employee is frequently required to sit, stand, walk, bend, stoop, crouch, and reach with hands and arms.  This position infrequently lifts, carries, or otherwise moves and positions objects weighing up to 25 pounds.
