Full Time Position
The Executive Director assumes responsibility for the management of all human and financial resources needed to achieve the youth orchestra’s mission. To that end, the executive director is accountable for all aspects of the organization and for implementing policies set by the board of directors. As the public face of the organization, the executive director is responsible for presenting positive images to young musicians, parents, donors, and members of the community regarding programs and the youth orchestra’s role in music education.
The preferred candidate will have:
- a minimum of five years of experience in non-profit arts management
- a record of demonstrated organizational, community and industry leadership
- a willingness to work flexible hours as required by weekend rehearsals, performance schedules, auditions, etc., and
- the ability to collaborate with artistic and administrative staff, board and community members.
Experience in youth arts is a plus.

Executive Director Position Description
The Executive Director is the administrative officer of the Youth Orchestra, with primary responsibility for organizing and coordinating activities; seeing that all necessary arrangements for rehearsals, concerts, and special events are made; handling internal communications and central purchasing; and maintaining a central file of records and general correspondence. The Executive Director is also responsible for investigating grant opportunities, general grant writing and for the writing of the Fund for the Arts Strategic Impact Grant associated FFTA grant opportunities, the Kentucky Arts Council Grant and Metro-Louisville External Agency Grant. The Executive Director reports to the Board of Directors; works closely with the Music Director; and serves as staff assistant to the Board of Directors and its Committees. The Executive Director carries out all required duties in a manner consistent with policies, procedures, goals and objectives established by the Board of Directors and serves as the general spokesperson of the Louisville Youth Orchestra.
Duties and Responsibilities
1. Attends all Board meetings and makes a formal report on administrative matters.
2. Attends committee meetings at the request of the Board of Directors.
3. Consults with the Music Director in preparing the annual schedule of rehearsals, performances, auditions and special activities.
4. Arranges for performances including facilities, publicity and programs, utilizes available volunteer resources (parents, board, community) to assist in these tasks as necessary.
5. Oversees the Business Manager regarding arrangements for auditions, scheduling and physical
accommodations and collection of fees and required documents.
6. Oversees the Site Managers regarding applications for exceptions to minimum requirements (private lessons, participation in school music program), investigates and forwards requests to “waive” Youth Orchestra rules and requirements to the Chairperson, Membership Committee; works with parents, students and schools to resolve problems related to minimum requirements.
7. Supervises the Co-Site Managers, Business Manager and Co-Music Librarians.
8. Maintains a regular and daily work schedule as it relates to the operations of the Youth Orchestra Office.
9. Performs additional duties as requested by the Board of Directors.
10. Prepares and manages grant requests including the Fund for the Arts Strategic Impact Grant, the Kentucky Arts Council Grant, Metro-Louisville External Agency Grant and any additional grants deemed essential for the continued success of the organization.
11. Prepares and makes deposits followed by a report to Treasurer.
12. Is responsible for donor relations and fund-raising activities and the management of related events and activities.
13. Maintains and fosters a presence and relationship with the League of American Orchestras, the Louisville Arts and Cultural Alliance, the Fund For the Arts, the Kentucky Arts Council, and other supporting organizations.
14. Maintains and fosters a presence with Jefferson County Public Schools and other educational entities.
About Louisville Youth Orchestra
The LYO, founded in 1958, provides an extraordinary musical experience for young people from grade school through age 21. This season the LYO is made up of three orchestras and various ensembles in which students advance according to their own musical progression and interests. There are musicians from diverse schools and counties in the Louisville & Southern Indiana metro area.
Musicians are required to participate in their school instrumental music programs and must take private music instruction. Financial scholarships for instruction are available and awarded based on need. Performance opportunities provide a wide range of meaningful experiences from September through May each year.
