ORGANIZATIONAL MANAGEMENT
● Draft and execute contracts and obtain all necessary paperwork, including certificates
of insurance and media permissions.
● In collaboration with staff, communicate with union representatives to maintain
positive relationships with each union and ensure compliance with labor rules.
● Identify, hire, and manage all outside non-concert-specific vendors, including catering
companies and floral companies.
● Aid in the organization of events surrounding concert day, including pre-concert panels
and securing locations and vendors for post-concert receptions.
● Provide oversight for all expenditures, create purchase orders, create and obtain
invoices, and track payments.
● Conduct research on new rehearsal and performance venues based on NYCHORAL
needs; create databases with relevant information regarding these venues.
● Maintain contracting and invoicing template databases.
● Maintain accurate bookkeeping in QuickBooks and update Executive Director and
Director of Production on budget tracking.
● Assist with donor stewardship activities, including printing and mailing thank you
notes for annual fund and general contributions in a timely and accurate manner.
● Other responsibilities as necessary.
EVENT-SPECIFIC RESPONSIBILITIES
● Act as primary box office manager in collaboration with Director of Production and
Executive Director.
● Set ticket prices for each section within the theater and discount codes for various
affinity groups.
● Select and assign all complimentary tickets for community engagement partners,
members of the press, and performing musicians.
● Sort all ticketing data for daily tracking of the status of ticket sales.
● Assist Chorus Manager in managing and communicating with NYCHORAL
ensembles, including creating choral rosters for security lists and concert programs, and
creating seating charts and ensuring appropriate accessibility requirements for members.
● Assist Music Staff in communication of rehearsal schedules for accompanists, guest
artists, performers, and external conductors.
● Assist in coordinating NYCHORAL singer auditions, including booking venues and
accompanists, as well as running auditions day-of.
● Act as artist’s primary liaison during production, ensuring that the guest artists’
hospitality riders are adhered to and that their complimentary tickets are secured.
● Assist Director of Production with day-of load in and out of venues.
● Oversee any additional day-of help including front-of-house supervisors and volunteer
greeters; manage volunteer staff at Gala.
Pay Range: $23/hour, 20 hours a week
