Position Description

The Artistic Assistant provides essential support to the Artistic Department, ensuring the smooth operation of daily functions and events. This role involves a combination of administrative duties, coordination of artistic activities, and logistical support for performances, rehearsals, and special events. The Artistic Assistant provides executive support to the Director of Artistic Administration and Artistic Director through calendar management, expense management, and supporting the organization’s artistic goals.

Duties and Responsibilities

Primary Job Functions:

Administrative & Departmental Support:

– Provide comprehensive administrative support to the Director of Artistic Administration, including calendar management, travel arrangements, and scheduling as requested.

– Reconcile and track departmental expenses.

– Support payroll and personnel hiring processing, including visa application processing for artists.

– Support internal activities to build a team culture of equity, diversity, inclusion, and belonging.

Artistic Event Support:

– Provide on-site artistic support during performances, rehearsals, and special events.

– Support audition planning and serve as audition monitor as requested.

Data & Resource Management:

– Provide maintenance of current and archival personnel and project information stored in artistic planning and scheduling cloud-based program, ArtsVision.

– Manage the music library and ensure proper distribution of scores for artistic projects.

– Administer the complimentary ticket process for artistic personnel.

Marketing & Communications Support:

– Assist in the proofreading and review of marketing materials to ensure accuracy and consistency.

Secondary Job Functions:

– Serve as artistic team liaison to the appropriate committees of the Volunteer Guild as requested.

– Position requires evening and weekend obligations during key times of the year.

– Attend performances, recitals, and community engagement activities.

– Participate in organizational events as requested.

– Attend staff, department, and artistic operations meetings as requested.

– Collaborate with other departments on interdepartmental needs.

– Other duties as assigned.

Experience & Qualifications

– Bachelor’s degree from an accredited college or university or equivalent work experience.

– 1-2 years’ experience working in an administrative role or non-profit setting.

– Familiarity and appreciation of opera or classical music.

– Proficiency in Microsoft Office Suite.

– Curiosity and capacity to seek and synthesize information.

– Detail-oriented and demonstrated organizational skills.

– Skilled facilitator and problem-solver.

– Strong oral and written communicator.

– Collaborative and supportive team player.

– Willingness and curiosity to learn and take on new skills.

– Positive can-do attitude.

Compensation

This is a full-time, non-exempt position.

Compensation: $44,000 – $46,000 annual salary

Opera Theatre has a flexible work policy which allows for some hybrid work and asynchronous schedule arrangements, based on position and other factors.

As of 2024, OTSL has presented 41 world premieres, which may be the highest percentage of new work in the repertory of any American company. In addition to the spring Festival Season, OTSL operates year-round education and community programs serving nearly 17,000 local children and adults.

Opera Theatre of Saint Louis has a year-round artistic and administrative staff of approximately 45, which grows to more than 500 during the Festival Season. Several hundred volunteer members of the Opera Theatre Guild provide support for all aspects of Opera Theatre’s work and advocate for the company throughout the greater St. Louis community. The company’s annual budget size is approximately $12 million; contributed revenue represents more than 50% of budget.
