Position Description
Opera Theatre of Saint Louis is hiring for the position of Production Administrator, who will be responsible for executing the business function of the Production Department. This position handles all production-related fiscal activities, forecasts production expenses and overtime costs, and acts as the primary tracker of rental and co-production revenues.

Responsibilities Include:
• Tracking, analyzing, and reporting on all fiscal activities of the Production, Operations, and Front of House Departments.
o Preparing weekly expense reports for Director of Production & Operations and all seasonal department heads.
o Providing monthly expense projections for Board reporting.
o Preparing cash flow projections for seasonal spending.
o Creating/maintaining allocation worksheets to manage/track various departmental expenses.
o Collaborating with Director of Production & Operations on all issues related to budget creation and management.
o Serving as departmental liaison to the Finance Department.
o Facilitating the implementation of all Finance-related policies within all relevant departments.
o Reviewing invoices and purchase orders for accuracy and completeness.
o Distributing and encumber purchase orders for departmental expenses.
o Managing pre-paid debit card funding for designers and other seasonal staff (PEX Cards).
o Tracking hourly time sheets in labor budget.
o Overseeing Opera Center and McRee Warehouse utility/maintenance payments.

• Data Management
o Developing reports, charts, and other ad-hoc analysis for production-related data points.
o Analyzing seasonal expense/revenue trends and recommend corrective actions, as necessary.

Experience & Qualifications
• Three years of experience in a professional non-profit capacity
• Financial literacy
• Strong verbal communication skills and the ability to multi-task
• Computer literacy, especially in Word and Excel

The ideal candidate will have
• Ability to maintain a professional demeanor
• Broad experience in multiple disciplines
• Interest in the arts, opera preferred

Compensation & Hours
• Compensation: $42,000-$45,000 annual salary plus benefits.
• This is a full-time, non-exempt position.
• Position requires some evening and weekend hours during key times of year.

The company offers a festival opera season each spring which attracts ticket buyers from zip codes throughout the metropolitan area, as well as visitors from nearly 50 states and multiple countries. As of 2022, Opera Theatre of Saint Louis has presented 33 world premieres and 28 American premieres, which may be the highest percentage of new work in the repertory of any American company. In addition to the spring Festival Season, Opera Theatre operates year-round education and community programs serving nearly 17,000 local children and adults.

Opera Theatre of Saint Louis has a year-round artistic and administrative staff of approximately 40, which grows to nearly 500 during the Festival Season. Several hundred volunteer members of the Opera Theatre Guild provide support for all aspects of Opera Theatre’s work and advocate for the company throughout the greater St. Louis community. The company’s annual budget size is approximately $12 million; contributed revenue represents more than 50% of budget.
