DEVELOPMENT & COMMUNICATIONS ASSOCIATE

The Development & Communications Associate works closely with the Director of Development & Communications to secure contributed revenue and manage institutional communications—all in service to advancing the organization’s mission of serving writers nationwide.

The Development & Communications Associate supports all aspects of the development program—from government grants to special events, individual donor campaigns to foundation proposals. They assist with the production of press releases, annual reports, and other communications materials and are responsible for maintaining donor records and generating reports. This is an excellent opportunity for an early-career development professional to gain hands-on experience in multiple aspects of fundraising and communications for the nonprofit arts and culture sector.

The idea candidate will be familiar with best practices in database management and donor acknowledgement. They will possess strong professional writing skills, be highly organized, and take pride in accuracy and thoroughness.

The Development & Communications Associate reports to the Director of Development & Communications. This is a full-time position in our New York City office, requiring work in the office at least two days per week and additionally as required, plus occasional evenings and weekends.

KEY RESPONSIBILITIES

Gift processing & Data Management
Record all gifts and pledges in DonorPerfect
Prepare timely donor acknowledgments
Generate reports for development and finance teams
Make weekly bank deposits

• Institutional Fundraising
Maintain annual grant calendar
Draft select grant proposals and reports
Prepare supporting materials for applications and reports
Proofread applications and reports; manage submission process

• Individual Fundraising
Assist in preparing, executing, and tracking individual donor campaigns
Assist in growing donor circles including the Patrons Circle and Authors Circle

• Special Events
Track solicitations, pledges, and contributions in DonorPerfect
Prepare and distribute invoices and acknowledgment letters
Manage guest communications and track guest lists to ensure flawless events
Assist with collateral production and donor recognition
Assist with venue selection, vendor coordination, VIP arrangements, and day-of logistics

• Communications & Administrative
Assist in drafting, editing, and proofreading communications materials
Maintain organized departmental records
Assist with donor research, stewardship, and recognition
Provide periodic reports on contributed revenue for development director, finance team, and executive director
Compile contributed income documentation for annual audit

QUALIFICATIONS

• One to three years of development or administrative experience, ideally in a nonprofit setting
• Outstanding organizational skills, exceptional attention to detail, and commitment to accuracy in all aspects of work
• Ability to write clearly and effectively in a professional context
• Ability to manage multiple projects and meet deadlines
• Proficiency with Microsoft Word, Excel, and Outlook
• Experience with DonorPerfect or similar donor database
• Discretion and dedication to safeguarding donor relationships
• Interest in contemporary literature
• Strong cultural competency; capacity to work effectively and sensitively with people from a wide range of backgrounds
