The Institutional Advancement department of the San Diego Symphony is responsible for raising contributed revenue from individuals, corporations, foundations, and government sources to support the San Diego Symphony’s operations and its active capital campaign. Currently, the department generates $10-11M in operating support each year and will grow operational support each year. This position supports the frontline fundraisers for the Symphony as they implement strategies for cultivating, soliciting and stewarding gift prospects.

Key responsibilities:

  • Timely gift processing in Tessitura while keeping database integrity at the highest levels
  • Pull data and run reports as needed (CEO call lists, invitation lists, solicitation lists, prospect lists, to name a few)
  • Be the Tessitura “service bureau” for Advancement Team
  • Coordinate distribution of Tessitura tasks based on complexity
  • Maintain list of summer VIP donors
  • Maintain highest level of confidentiality of donor records and information
  • Assist with processing donor acknowledgements
  • Develop, maintain, run and distribute daily, weekly and monthly income reports
  • Work with Box Office and other departments to ensure overall integrity of database and record entry
  • Provide regular, reliable reports for Advancement Team, including Portfolio report, donor attendee report, intermission report, meet & greet invite lists, reception invite lists etc.
  • Track and code departmental expenses and ensure accuracy of expense budget
  • Retain financial records on all major gift agreements and email correspondence with gift designations from donors
  • Assist the VPIA with portfolio management and updates as well as scheduling and drafting donor correspondence
  • Work with Finance Department and independent auditors to pull necessary reports, lists, and records for audit
  • Assist in the reconciliation of records, specifically income records, between Advancement and Finance Departments
  • Assist with special events, donor benefit events, and concert staffing (requires consistent night and weekend availability)

Education and experience required:

  • Some college preferred but not required, certification(s) in fundraising a plus
  • Proven ability to handle confidential information in a fully secure manner
  • Ability to multi-task and prioritize tasks in a fast-paced professional environment
  • Work especially well in a team environment
  • In-depth experience running reports from a robust database
  • Detail oriented
  • Basic understanding of standards in accounting
  • Proficient in Microsoft Office applications (Outlook, Word, Excel, PowerPoint, etc.)
  • Personal experience with instrumental music performance preferred
