The Artistic Assistant provides administrative support to the entire Artistic Department and Guest Artists and serves as the personal assistant for the San Diego Symphony’s Music Director. The Artistic Assistant is the Artistic Department’s backstage point‐person during San Diego Symphony performances and rehearsals (together and/or in rotation with other Artistic department staff), and ensures a warm and welcoming environment for guest artists. This position reports to the Director of Artistic Planning and will work closely with the Artistic Operations Manager in performing the administrative and concert support functions required for the smooth and exceptional execution of San Diego Symphony performances and presentations; all of this work must be performed with a commitment to discretion and maintaining confidentiality.

Essential Duties and Responsibilities

Artistic Department Support

The Artist Assistant serves as the Artistic department’s backstage point‐person/liaison during assigned performances and rehearsals, maintains on‐call status to assist guest conductors and artists, and works closely with Operations and Production team regarding pre‐, during and post‐concert/rehearsal activities.

  • Arrange all aspects of hospitality per Artist Rider and/or SDSO’s standard practice
  • Assist in the inventory and sales settlement for artist merchandise (e.g. CDs) sales at performances
  • Maintain security lists and process backstage access requests, complimentary ticket requests and requests for the presence of guest artists from other departments
  • Communicate all required information to appropriate staff and colleagues
  • Assist Artistic staff and other key staff with aspects of program planning and execution
  • Assist in communicating artist and programming information to other staff, including data entry and verification of artistic content in ArtsVision (a specialized music database).

Personal Assistant to the Music Director

As the Personal Assistant to the Music Director, the Artistic Assistant will provide administrative support for the San Diego Symphony’s Music Director to include calendaring, event and meeting management, travel arrangements, expense processing and tracking, report preparation, and materials preparation for appearances and meetings. The Artistic Assistant with help draft and edit correspondence, and interact with all levels of the organization including the Senior Management Team, Board Members, donors/prospects, and community representatives and organizations. The Artistic Assistant must expertly exercise discretion when dealing with confidential and/or sensitive information and must demonstrate a high degree of tact, diplomacy, judgment and sensitivity in all interactions.

  • Maintain the Music Director’s experience as organized, punctual, and productive by providing administrative support in the areas of communication management, calendar scheduling, event coordination, etc.
  • Assist with general basic tasks, help prepare for performances, run errands, complete miscellaneous tasks relating to the Music Director’s work with the San Diego Symphony.

Working Conditions:

  • Regular, predictable attendance required, as well as numerous evening and weekend work shifts
  • Normal office working conditions: sitting at a desk and computer terminal for long periods of time, typing and computer work, light to moderate lifting
  • Normal backstage working conditions: standing for long periods of time, light to moderate lifting, noisy atmosphere

Education and Experience:

  • Bachelor’s Degree a plus but not required
  • Project management experience; ability to manage multiple projects at once
  • Proficient in Microsoft Office applications (Outlook, Word, Excel, PowerPoint, etc.)
  • Knowledge of and passion for classical music and the performing arts is essential to this position; knowledge of concert production and logistics is preferred
  • A valid driver’s license
  • Spanish speaking skills a plus
  • Knowledge of ArtsVision software a plus

General Requirements:

  • Available to work nights, weekends, and overtime as required for concert and rehearsal coverage
  • Able to sit or stand for long periods of time
  • Able to pick up and move a minimum of 20 lbs

Benefits
This is a full-time position with benefits, based at the San Diego Symphony. Frequent evening and weekend work required. Due to the pandemic, some work will temporarily be performed remotely.
