The Assistant Orchestra Personnel Manager will work closely with the Orchestra Personnel Manager in acting as a liaison between Orchestra Musicians and Administrative Staff and ensuring compliance with the Master Agreement. Responsibilities include managing national and local auditions, maintaining the orchestra’s payroll, seating charts, assignments, and attendance records, hiring substitute and extra musicians, and acting as a resource for the musicians, while maintaining strict confidentiality with all personnel matters.

Essential Duties and Responsibilities:

  • Maintain a friendly and positive environment for the musicians of the orchestra, fostering and encouraging open communication between the orchestra and management, reinforcing institutional goals and values.
  • Manage orchestra rehearsals and concerts including timekeeping and proper working conditions for musicians, and addressing with discretion any personnel issues that may arise.
  • Assist in ensuring that all Symphony activities are executed in compliance with the Master Agreement and in resolving labor issues.
  • Serve as a liaison between musicians, guest artists and conductors, and administrative staff.
  • Maintain database of approved substitute and extra musicians, and hire those musicians as per the artistic needs of the orchestra, notifying those musicians of all details including schedule, dress, parking, pay, and repertoire.
  • Collect I-9s and W-4s from new musicians, ensuring that paperwork is being filled out correctly and in a timely manner.
  • Coordinate all aspects of the audition process including scheduling, advertising, registration, and implementation according to the requirements of the Master Agreement and industry standards.
  • Distribute information regarding rehearsals, locations, instrumentation and dress for Symphony performances via bulletin boards, emails, and online resources.
  • Assist with preparing musician payroll and other payments.
  • Support the negotiation process of the Collective Bargaining Agreement, in administration and/or research tasks.

Requirements
Education and Experience:

  • Bachelor’s degree in Music, Music Business, or Arts Administration preferred.
  • Experience in the Performing Arts is essential to the success of this position. Preference would be a candidate that has spent time in an orchestra, whether as a musician or member of the administrative team.
  • Must be familiar with orchestral repertoire and able to read music.
