Overview

The Cleveland Orchestra is seeking a Development Associate (Institutional Giving) who will provide administrative support for The Cleveland Orchestra’s Institutional Giving Team. The primary focus for this position will be to work directly with the Director of Institutional Giving, and Corporate & Government and Foundations Gift Officers to expand and enhance The Cleveland Orchestra’s philanthropy program through administrative and donor management responsibilities. The Development Associate (Institutional Giving) will play a crucial support role within this specialized fundraising team. The Development Associate (Institutional Giving) will also work in collaboration with other Development Team members, as well as other Orchestra administrative staff.

Responsibilities include the following:
• Assist in the maintenance of the annual grants calendar and assist with proposal and report development
• Prepare accurate and timely acknowledgement letters for gifts and coordinate acknowledgment efforts with Institutional Giving Team to strengthen donors’ relationships with the Orchestra
• Provide administrative support to Institutional Giving Officers by preparing and composing correspondence and reports, maintaining donor files, updating and maintaining accuracy of donor database, recording and producing meeting minutes
• Produce assigned revenue tracking and prospect management reports on a weekly basis
• Assist with the corporate annual fund direct mail campaign
• Assist the Corporate Giving Officer with direct mail follow up and solicitations
• Help to produce and deliver email communications to corporations and government officials
• Liaise with government officials with regard to their participation in events and dinners
• Assist in updating and maintaining parts of The Cleveland Orchestra website
• Respond to inquiries from staff and donors, research issues regarding giving history, gift designation and gift acknowledgement
• Prepare prospect information – with support from Operations team – for corporate, foundation and government donors and potential donor prospects
• Contribute to weekly concert attendance lists
• Oversee all portfolio donor recognition responsibilities including updating donor lists for publications, articles for all donor-related publications (the Annual Report and program book) and the donor recognition wall
• Provide Concierge Ticketing and Reservation services for donors who qualify
• Coordinate concert dedications and special events at Severance Hall and Blossom Music Center, including distribution of tickets, program book recognition, coordinating guest lists and managing other event details.
• Attend and assist at concerts and donor events as required (checking in guests, etc.)

The successful candidate will possess the following qualifications:

• Bachelor’s degree preferred. Relevant work experience may be substituted for academic training
• One to two years of administrative assistant/secretarial/customer service experience
• Strong communication skills, both oral and written
• Strong computer skills with proven proficiency in MS Office including Word and Excel
• Experience working with donor relational databases. Experience with Tessitura software a plus
• Superior interpersonal and communications skills to successfully interact with a diverse group of people both internally and externally. This position will communicate regularly with donors and prospects via email, phone, and in-person
• Strong organizational skills with a high attention to detail
• Must be able to travel between locations (Severance Hall and Blossom Music Center) as well as to local and regional meetings and events
• Ability to work a flexible schedule that includes evenings, weekends, and some holidays
• Ability to work independently and as a collaborative team member
• Ability to successfully prioritize to manage multiple projects and deadlines
• Demonstrated independent, mature judgment with the ability to consistently maintain a professional image and demeanor
• Knowledge of the Cleveland business, philanthropic, and social community; previous experience with an arts organization; and an interest in classical music are all desirable
