The Cleveland Orchestra is seeking an Executive Assistant who will be responsible for providing confidential executive-level support to the Chief Development Officer, managing and coordinating the administrative functions and welfare within the office of the CDO, resolving complex administrative problems independently, and performing tasks that are diverse and advanced.

Executive Assistant responsibilities include the following:

  • Provides key support for the CDO’s responsibilities and activities
  • Provides strategic support and organization to the CDO in managing her portfolio of major individual and corporate donors including but not limited to: generating solicitation letters, acknowledgement letters, booking gifts, assisting with stewardship activities and processing gifts
  • Provides key support to the CDO in identification, research, strategy and stewardship of major individual, corporate and foundation donors and Board candidates
  • Responsible for drafting and managing CDO’s correspondence with donors, sponsors, government funders and other key contacts of the TCO
  • Responsible for the successful and efficient management of internal and external meetings including coordination of venues, materials, schedules and other essentials
  • May be called upon to manage, coordinate, execute and/or deliver variety of special projects, including but not limited to: fundraising cultivation events (cocktail parties, receptions, meet and greets), stewardship events and services (thank you dinners, delivery of flowers, memorial services)
  • Performs Concert duty as part of the P&A team
  • Represents the department and the CDO on various committees as assigned
  • Responsible for the management of the Fundraising Committee materials, including agendas, action items reports, arranging support materials
  • Responsible for the management of the Nominations and Governance Committee including scheduling meetings, preparing and maintaining data and materials such as agendas, presentations, and nominations matrix
  • Manages and books CDO’s domestic and international travel, schedules and meetings
  • Responsible for reviewing and preparing the CDO’s monthly expense reports
  • Works collaboratively with the Executive Assistant to the President & CEO on various Board-related matters, including the management of the OnBoard Board Portal and Trustee Handbook

The successful candidate will meet the following qualifications:

  • BA/BS or equivalent work experience
  • 1-3 years of C-level administrative experience
  • Expert Word, Excel, PowerPoint skills
  • Superior interpersonal and verbal/written communication skills
  • Ability to handle complex issues with minimal supervision
  • Ability to maintain confidentiality
  • Excellent customer service skills
  • Demonstrated independent, mature judgment
  • Outstanding organizational skills, attention to detail
  • Ability to successfully prioritize to manage multiple projects and deadlines
  • Demonstrated history of meeting deadlines
  • Confident and professional demeanor
  • Experience with Tessitura or a similar CRM database
  • Basic understanding of fundraising theory, including the fundraising cycle, moves management, event coordination, charitable receipting rules and regulations is desirable
  • Occasional travel to local and regional meetings and events
  • Must be able to occasionally work evening and weekend hours
