Business Manager
Location: Los Angeles, CA

Salary Range: $70,000 annually (commensurate with experience)

Position Summary:
The Groundlings Theatre and School is seeking an experienced and highly organized Business Manager to oversee accounting and controller duties, company maintenance, general HR functions and other administrative tasks. The Business Manager will report to the Managing Director. The ideal candidate will have strong attention to detail, excellent financial and accounting skills and an interest in the performing arts.
General Accounting/Controller duties Include:
Overseeing the day-to-day operations of Accounts Receivable, Accounts Payable, bookkeeping, journal entries, PosPay and GAAP Accounting.
Issuing financial statements monthly for the Board, as well as bi-annual reports for the Main Company
Categorizing and recording income breakdown of funds received through Tessitura for each department
Monitoring and keeping in compliance with contracts, mortgages, lending agreements, insurance, etc
Invoicing, collecting, and recording payments for all indy show rentals, classroom rentals, corporate trainings, and any other special event
Recording cash/check receipts from box and school, and making regular bank deposits
Managing vendors/general contractors, billing and payment schedule, etc.
Conducting a monthly reconciliation of every bank account
Conducting periodic reconciliations of all customer & vendor accounts to ensure they are accurate and paid in a timely fashion
Maintaining and reconciling the petty cash fund
Managing the annual auditing process, assembles information for external auditors
Tagging and monitoring fixed assets
Tagging and monitoring capitalized expenses
Recording and creating journal entries for all prepaid transactions at end of fiscal year (class income, insurance, leases, etc)
Assessing & processing depreciation yearly
Tying out and closing the end of each fiscal year within accounting program
Maintaining the chart of accounts
Maintaining the annual budget
Maintaining an orderly accounting filing system
Company Maintenance – Taxes, Permits, Insurance, etc
Keeping all company permits in compliance (fire permit, health permit, seller’s permit, police alarm permit, business tax certificate, etc)
Keeping all company insurance plans up to date and providing information to broker for all renewals and quotes (commercial liability, package insurance, D&O policy, etc)
Filing government required forms & taxes yearly (1099s, 571-L Business Property Statement, Statement of Information, etc.)
Collecting sales tax from customers and remitting them to the government (concessions and merchandise only)
Providing all financial information to the external accountant who prepares the company’s end of year taxes
General H/R Duties:
Managing the hiring process for new employees – setting them up in the Paychex system, and with necessary tools and paperwork to begin work.
Maintain relationship with H/R consulting company to oversee training, compliance and employee management
Overseeing employee benefits, insurance, and vacation/PTO
Maintaining legal compliance to state/federal worker regulations, worker’s comp reports, EDD reports/audits, and maintenance of employee taxes & records.
Processing payroll in a timely manner & managing employee access/training for the electronic timecard system
Maintaining employee files & updating employee salaries as needed
Other General Admin duties:
Purchasing supplies and equipment as authorized by management (green room snacks, office supplies, concessions, etc)
