Opportunity Overview:

The Law Offices of James M. Kendrick, LLC specializes in music publishing matters and copyright law and supports multiple private foundations in fulfilling their missions to fund and promote contemporary concert music and jazz. As our Executive Assistant/Office Manager you will provide comprehensive executive support to the company’s Founder as well as logistical and administrative support to the Foundations team. You will report to the Founder and Head of Foundation Services. Your role will grow with you as you grow with us!

Key Responsibilities:

While providing executive support to the Founder (~30%):

  • You’ll maintain strict discretion, confidentiality, and tact with regards to all business, personnel and client matters.
  • You’ll manage the Founder’s calendar, set up meetings as requested, and proactively communicate potential scheduling conflicts and challenges.
  • You’ll coordinate and book complex domestic and international travel in coordination with clients as required.
  • You’ll triage incoming correspondence and inquiries from clients, business partners, and colleagues.
  • You’ll track business expenses and compile and submit reimbursement requests.
  • You’ll maintain digital and physical filing systems.
  • You’ll perform legal and music-related research as requested.

In your role as office manager (~70%):

  • You’ll work one day per week in the office (located in Flatiron District in Manhattan) receiving and processing mail and deliveries, preparing in-person client meetings, and maintaining physical files.
  • You’ll provide on-site support for weekday and weekend client meetings and grant panel meetings, and you may be required to be present for a limited number of weekend client meetings and grant panel meetings each year for which compensatory time off will be given.
  • You’ll maintain the Foundations team calendar, set up meetings as requested, and proactively communicate potential scheduling conflicts and challenges.
  • You’ll create and maintain a client contact database.
  • You’ll research and suggest opportunities to improve communications, increase efficiency, deepen client relationships, and refine internal systems and procedures.
  • You’ll coordinate logistics, travel, and tickets for social events and our annual summer retreat.
  • You’ll order catering, supplies, and equipment as needed.

Qualifications:

  • You confidently work independently and show up as an engaged, adaptable, and collaborative team member.
  • You are an excellent communicator with careful attention to accuracy and detail.
  • You are proficient in Microsoft Office Suite, Slack, Asana, Zoom, or other similar applications, and you are willing to learn new technology as needed.
  • You can read and understand Western musical notation (but this need not be at a performing level).
  • You have a minimum of 3 years of experience in a comparable role in a law firm, non-profit organization, or creative industry professional environment.
  • You have a bachelor’s degree in a performing arts field or have comparable work experience.

Salary Range: $55,000-$65,000 commensurate with qualifications.
