Title: Capital Project Coordinator
Department: Project Development
Reports to: Senior Project Manager
Status: Full-time, exempt from overtime
Work location: Onsite
Salary range: $55,000 – $65,000/annually
General Responsibilities
The Capital Project Coordinator provides administrative, project management, and capital planning support for built environment projects throughout the Menil Neighborhood. This includes museum buildings, landscaping, and real estate development and remodels which are under the purview of the Senior Project Manager.
Specific Duties
Project Management Support:
• Manage and execute projects as assigned by the Senior Project Manager.
• Track project schedules and budgets.
• Organize and maintain project master files, including architectural drawings, contracts, and reports.
• Schedule and attend meetings and site visits with Menil Leadership and consulting partners.
• Process invoices and prepare expense reports.
• Assist with contract preparation.
• Draft and coordinate requests for qualifications and proposals for professional services (designers, architects, engineers, contractors, and service vendors).
Administrative Support:
• Schedule meetings, record meeting minutes, and assist the Senior Project Manager with preparing and distributing materials for the Menil Board of Trustees and Real Estate Development and Neighborhood Committees.
• Maintain property and project files in coordination with the Menil’s Facilities and Archives Departments.
• Provide administrative backup for team members as needed.
• Assist with the development of presentations for key stakeholders.
• Research issues related to the Menil’s real property and strategic projects, including city ordinances and permitting requirements.
• Procure fixtures, furnishings, and equipment for projects and museum operations.
• Attend and report on community and civic group meetings as requested by the Senior Project Manager.
Qualifications
• Bachelor’s degree required.
• Minimum of four years of relevant professional experience in built environment projects.
• Experience managing project budgets and costs required.
• Strong computer skills, including proficiency in:
o Microsoft Office Suite (Excel, Word, PowerPoint)
o Microsoft Outlook
o Adobe Acrobat
• Additional experience with the following is appreciated but not required:
o Microsoft Teams & OneDrive
o Adobe Creative Suite
• Excellent communication skills, with the ability to interface professionally at all levels.
• Strong written communication skills, including editing and proofreading.
• Exceptional organizational skills.
• Ability to work independently, prioritize tasks, and multitask in a fast-paced environment with minimal supervision.
• Collaborative and team-oriented approach.
• Strong work ethic and pride in work product.
• High level of discretion and confidentiality.
