The Washington Chorus (TWC) seeks a Box Office and Development Administrator to support TWC’s general ticketing and fundraising administrative office tasks. This position reports to both the Communications and Marketing Director (Box Office Administration) and the Development Director (Development Administration). The optimal candidate will have a strong combination of database and Microsoft Office expertise alongside people-oriented customer service experience (phone, email, in-person). This role will require occasional evening and weekend work to support The Washington Chorus productions and events. While the position is currently part-time, it has the potential to evolve into a full-time position.

Reports to: Director of Marketing and Communications; Development Director

FLSA Status: Part-time, non-exempt

Work location: The Washington Chorus Office: 945 G Street NW #211, Washington DC 20001. (One block from Metro Center station). All staff are in office on Mondays (10am – 3pm) for in-person meetings. Work during other times can be remote, apart from events that are often held at various performance venues where attendance would be required.

Compensation: $25/hour (1099); average 20 hours per week. Hourly distribution flexible and variable.

Benefits: This position is not benefits-eligible.

Essential Functions:

Box Office Administration
– TWC ticket fulfillment, including labeling and organizing tickets, for internal ticket sales.
– Order processing and qualifying in TWC’s CRM, Patron Manager.
– Updating weekly sales reports with third party sales information.
– Patron communications for routine ticketing questions, phone orders, and customer support.
– Coordinating and communicating with partner venues (e.g. The Kennedy Center) for additional ticket needs and will call operations.
– Assisting with ticket distribution on show dates at the TWC Hospitality Table and/or Box Office (show dependent).

Development Administration
– Acknowledgment letter preparation and distribution.
– Entering physical donations and qualifying online donations.
– Recording moves management touchpoints.
– Communicating with donors for routine gift processing questions.
– Supporting donor and special events through various tasks as needed (e.g. managing attendee RSVPs, organizing check-in, etc.).

Competencies:

– Excellent verbal and written communication skills.
– Proficiency in standard office technology, with particular expertise in Microsoft Office (particularly mail merge functions in Word and Excel) and Customer Relationship Management (CRM) systems. Previous experience with Patron Manager a plus.
– Exceptional organizational and problem-solving abilities, with a track record of managing multiple projects effectively and with an attention for detail.
– Ability to work as part of a team as well as independently, all while thinking creatively and taking initiative. We are eager to grow as an organization, and we love employees who evaluate our existing systems and identify areas for improvement.

Qualifications:
– 1-2 years of administrative experience, particularly with regard to box office tasks, fundraising administration, and customer service.
– Understanding of non-profit, arts, or similar organizations.
– Music/arts background a plus.

Work Environment: This position operates partially in an open office environment with moderate noise, as well as in crowded lobbies connected with area performing arts centers.
