The Tony Award-winning Williamstown Theatre Festival seeks a detail‐oriented, personable Administrative Assistant to assist the members of our Williamstown, MA office year-round. Responsibilities include, but are not limited to:
Serve as the Volunteer Coordinator for our volunteer usher base
Act as the primary back-up to the Director of Audience Engagement on phones in the non‐summer months, facilitating ticketing requests and providing patrons with unparalleled customer service
Qualify incoming ticket orders in the CRM software PatronManager in the non-summer months
Organize and track Bundle Buyer date selection forms
Assist the Director of Audience Engagement on audience development, ad sales, and merchandising, as needed
Act as an ambassador for the Festival in Williamstown and the greater Berkshires, including but not limited to attendance and visibility at town functions, community events, arts advocacy gatherings, marketing and tabling opportunities, and other events
Assist the Business Manager with Accounts Payable and Accounts Receivable
Assist the Business Manager with contract processing and tracking
Assist the Business Manager with tracking down receipts for Festival credit cards and petty cash
Prepare Daily Sales reports and weekly bank deposits with supervision of Business Manager
Assist the Business Manager with all Festival purchasing and acting as the main point of contact for any non-summer purchases via the AMEX or petty cash system, ensuring that purchases are made tax exempt
Office Administration & Other Key Duties
Handle daily mail collection by entering bills in a timely manner, scanning daily donations to the Development Office, and passing along notices to pertinent staff members
Order and maintain office supply inventory
Accurately collect and process data, while maintaining confidentiality and security of patron and Festival information

Ideal candidates will possess clear communication/interpersonal skills, a sense of humor, a keen eye for detail, an ability to gracefully balance competing priorities under pressure, and a desire to learn about the administrative needs of a busy non-profit theater. Candidates must be comfortable working in a strong sales environment, as well as working with databases and the Microsoft Office and Google Suite. Previous customer service experience and familiarity with Quickbooks (or similar software) preferred but not mandatory.
The position ideally begins by September 12th. Hours worked average 20 hours per week typically between 10am‐5pm Monday through Friday in the non-summer month (summer hours may vary). The position pays $15/hour.
